TITLE: Office Assistant
LOCATION: Studio City, CA

SUMMARY
Pacific Union is seeking an Office Assistant for the Studio City Office. This position reports the Branch Manager, Studio City.  The Office Assistant will provide superb customer service to high level client base and sales professionals with the highest degree of integrity, professionalism, and discretion.  S/he will have a proven ability to independently manage multiple tasks with competing priorities and deadlines. The ideal candidate will be a hard-working professional, have a positive attitude, a desire to work as efficiently as possible, and excellent client-facing communication skills.
 
WHAT YOU’LL DO
At Front Desk:
  • Greet Visitors
  • Answer Phones & Redirect calls as needed
  • Collect outgoing mail & distribute incoming mail
  • Receive all deliveries & notify agents
  • Order For Sale signs up & down
  • Replenish paper & toner in printers & copiers
  • Distribute branded folders, stationary, & other supplies to agents
  • Forward mail & interoffice communication to other Pacific Union offices via re-direct services.
  • Data Entry of all listings into Skyslope
Away from Desk:
  • Maintain the office
  • Assist with creation & binding of print listing presentations
  • Instruct agents in proper use of scanner/copiers
  • Request service calls for office equipment & deal with technicians
  • Provide technical support & trouble shooting for agents with computer issues
  • Clean, Organize, & Maintain the Storage Room
  • Replenish and stock all restrooms
  • Prepare Open House signs for agents Broker Caravans & Sunday Open Houses
  • Run errands for the office as needed
WHAT YOU’LL NEED TO SUCCEED
  • Proven working experience in a front office handling receptionist responsibility
  • Possess excellent communication skills, both verbal & written
  • Proficient with Microsoft Office (Word, Excel & PowerPoint)
  • Professional appearance
  • Ability to organize, multitask, prioritize and work under pressure

COMPENSATION:  DOE. This is a part time position; Work hours are: Monday through Friday 9:30am – 3:00pm with a 30-minute lunch break; for a total of 25 hours per week.
