JOB TITLE: Concierge
Pacific Union is seeking a full-time Concierge for the Novato Office. This position reports to the Operations Manager, Marin County. The Concierge will be an ambassador for our sales professionals and thrive working in fast paced environments. This role requires a high degree of integrity, professionalism, and extraordinary customer service skills.
Agent Relations & Retention
  • Frontline Agent support and program set-up
  • The office expert and go to for company tools and resources
  • Tour and workflow process enlightenment
  • Coordinate tool training with Marketing Manager
  • Provide Closed and A/R reports
Marketing Support
  • Full support of company marketing tools and advertising for promoting agents and listings
  • Work with marketing manager to coordinate new product introductions
  • Enter and manage listings within the Transaction Coordination Platform (including leases)
  • Create and send out MLS Brokers Tour, Pocket Listings and Hot Sheet
  • MLS listing input and maintenance as needed
Office Operations
  • Front office operations
  • Meeting support as required (scheduling conf room, lunch, printing materials, setting up monitors)
  • Maintain office equipment (phones, copier, postage meter, etc.)
  • Maintain trust logs for transactions
  • Accounts Payable and Receivable
    • Approve Invoices & Receivables
  • Various projects assigned by Regional Executive and Operations Manager
  • Back up other offices, including the Marketing Manager, when needed
  • Liaison with Commission Team
    • Distribution of Commission payment
    • Scan closing docs to commissions team
  • Set-up E-Signature of documents for RE approval
  • File Review within the Transaction Coordination Platform
  • Strong knowledge of MS Suite (Outlook, Word, Excel and PowerPoint) and ability to learn new technology tools quickly.
  • Ability to stay focused, efficient, and effective in managing multiple priorities and tight deadlines with grace and poise.
  • Professional calm demeanor while working in faced past environment
  • Proven ability to work independently to achieve accomplishments.
  • Social personality with a genuine desire to connect & collaborate with others
  • Exceptional ethical standards, humility, empathy, sense of humor and strong interpersonal skills.

  • Active real estate license a plus and knowledge of the MLS

COMPENSATION:  Depending on experience. This position is a full time (40 hours per week). Competitive benefit package including medical, dental, vision, 401K and paid time off (vacation, sick and holidays).
